This Privacy Policy explains how Nextwaveai ("we", "us") collects, uses, and protects personal data when you interact with our recruitment assistant, including conversations started through Instagram direct messages. We act as a data processor on behalf of the recruiting organisation (the "Client") whose vacancy you are applying for.

Data we collect

Your Instagram-scoped user ID and username, so we can hold the conversation.
The messages you send us during the application conversation.
Application details you provide (for example name, date of birth, availability, driving licence, and other job-related answers).

How we use your data

To respond to your messages and conduct an application intake for a specific vacancy.
To assess your application against the job requirements and share qualified leads with the Client.
To improve and secure the service.

We do not sell your personal data and we do not use it for advertising.

Legal basis

We process your data to take steps at your request prior to entering into an employment relationship and on the basis of the legitimate interests of you and the Client in matching candidates to vacancies (Articles 6(1)(b) and 6(1)(f) GDPR).

Sharing

We share application data with the Client recruiting for the vacancy and with service providers that host and operate the platform (such as our cloud and database providers), and with Meta Platforms in order to deliver Instagram messages. These parties process data only on our instructions.

Retention

We keep your structured application data only as long as needed for the recruitment process and any legal obligations, after which it is deleted or anonymised. We do not store the verbatim message transcript of your conversation.

Your rights

You have the right to access, correct, or delete your personal data, to object to or restrict processing, and to data portability. To exercise these rights — or to request deletion of the data associated with your Instagram account — contact us at [email protected].
